The Administrative Assistant is responsible for supporting the administrative needs of the VasoHealthcare organization including the company site-visit program, annual meetings, travel coordination, project work and other administrative tasks. This role will also directly support senior leadership as needed.

The ideal candidate is highly self-motivated, professional, and capable of managing his/her workload in a fast-paced corporate environment. This individual represents the company through interactions with our field sales team and our partners at GE HealthCare and must conduct themselves respectfully and professionally. The successful candidate will be an effective communicator, able to quickly interpret tasks and communicate with others efficiently. Candidates must be proficient with Microsoft Office Suite including PowerPoint, Word, Outlook, and Excel.

Essential Duties & Responsibilities

· Manage the VasoHealthcare Site Visit Program which includes travel arrangements, approvals tracking and reporting quarterly analytics on program success to senior leadership.

· Assist with company event planning, including the annual National Sales Meeting, annual regional and department meetings, training courses, and healthcare industry conferences, including scheduling of conference space, A/V requirements, food & beverage management, entertainment, and other event-related details.

· Book related travel coordination for company-sponsored meetings, including flights, bus transportation, car service, and rental cars as needed.

· Prepare printed materials and any other needed items for in-person company events.

· Create and distribute company communications as directed by members of the VasoHealthcare Leadership team including emails, surveys, and/or event reminders.

· Manage organizational charts and distribute as required.

· Maintain company directory and distribution quarterly.

· Enroll company new hires in business-related programs and applications for travel, communication and expenses.

· Perform general clerical duties, including photocopying, faxing, mailing and filing.

· Professionally manage confidential and time-sensitive material

· 2 years of experience minimum
